How can you change a user's role? Can the CO role be reassigned?
Yes,you can change user roles including reassigning the outgoing CO role, the incoming CO completes CO training, the role is reassigned.
Changing a standard role
To update any team member's role:
- Go to Account Settings → Users (open directly)
- Find the user in the list - use the Search bar if needed
- Click the pencil (edit) icon in the Actions column on the right of the user's row
- In the Edit User panel, select the new role from the Role dropdown (e.g. Frontline Staff, Compliance Officer)
- Optionally update Job title/role(s) within the organisation to reflect their internal position
- Save the changes
The user's new role takes effect immediately. If the new role has training modules attached, the user may have limited access to some functions until those modules are completed.
Note: If you are changing the Compliance Officer role - either stepping down as CO or appointing a new one - follow the instructions in Reassigning the CO Role below, as this involves a different workflow.
Reassigning the CO Role
Yes - the CO role can be reassigned when the original CO leaves, retires or steps down. The workflow:
- Current CO changes their own role to a new role. This is done via Account Settings → Users (open directly) → edit own record.
- Promote another user to Compliance Officer - the system prompts the current CO to
select another team member. This is required for the current CO to change role. The new CO will need to complete any training modules needed for their role - which may impact some access to system until completed. - AUSTRAC needs to be notified of the change of Compliance Officer separately - this is a regulatory obligation under the AML/CTF Act, not a platform notification. They have 28 days to do so.
If the current CO has already departed and the account is locked, easyAML support can assist with the reassignment. The platform requires a CO at all times - you can't operate without one - so support intervention is available for genuinely orphaned accounts.
A good practice is to have a 2IC (deputy CO) already in place before the primary CO leaves, so the 2IC can step up smoothly and the firm isn't scrambling to onboard a new CO from scratch. See "What happens when the CO goes on extended leave?" in Section 21.
