Learn how to add an individual in easyAML - from creating their record and sending a verification link.

Learn how to add an individual in easyAML - from creating their record and sending a verification link, through to configuring Source of Funds/Wealth and onboarding questionnaires where your AML obligations require it. Every buyer, seller or director connected to a transaction needs to be added here before they can be tagged to a transaction.

Dashboard Navigation

  1. Start from the easyAML dashboard. Every individual you need to verify - buyers, sellers, directors, trustees, or any other party to a matter - gets added here before they can be tagged to a transaction.

Individual Registration

  1. Open the Entities menu in the left sidebar and select Add Individuals (open directly).
  2. For most, New Remote VOI is the default. The platform sends the individual an SMS and/or email with a link. They open it on their own phone, capture their ID document, complete a liveness selfie, and submit - all in around one to two minutes. No app download needed. The result, including document images, biometric comparison, and screening outcomes, lands directly in their record in the platform. Fill in the individual's details - name, date of birth, contact information, and the preferred delivery method for their VOI link (SMS, email, or both). There's also an option to upload any documents you already have on file for this person, such as a previously sighted ID document or a manually completed VOI form. Uploading here attaches those documents directly to the individual's record so everything sits in one place on the audit trail.
  3. Select In-person VOI if the individual is physically present in your office and a staff member will witness the document capture directly. For in-person VOI, a photo of the client is recommended but not required - a single image of the client is captured (rather than the full liveness check), because staff presence substitutes for that check. Either way, PEP, sanctions, and adverse media screening runs automatically regardless of which capture method you choose.

Onboarding Questionnaire

  1. The Questionnaire at the bottom is optional, and separate from Source of Funds/Wealth. Where SoF/SoW collects financial evidence, a questionnaire collects broader onboarding information - things like the nature and purpose of the business relationship, expected transaction patterns, and any other context your AML Program requires you to document. Click Add Questionnaire, then Configure Questionnaire to set one up.

Wealth Verification Setup

  1. Additionally you'll see the optional Source of Funds/Wealth section. You won't need this for every individual, but when you do, this is where you configure it. Source of funds establishes where the money for a specific transaction came from. Source of wealth establishes how the individual accumulated their assets more broadly. Under the AML/CTF Act, there are circumstances where you must collect this - not just where you choose to. We will now go through an example of attaching SoW Questionnaire
  2. Click Add Source of Funds/Wealth, and start to configure.
  3. Select the source type that matches the individual's circumstances - in this example, Real Estate.
  4. Click Next to work through the configuration steps. When you reach the evidence tier, select Enhanced for higher-risk individuals or PEPs, or Standard for routine matters. This controls the depth of documentation the customer will be asked to provide.
  5. Click Add to Verification to attach the SoF/SoW configuration. The customer will be prompted to complete this as part of their VOI session. Their responses and any uploaded documents are stored as a frozen snapshot on sign-off - giving you a tamper-evident record of exactly what was relied on.
  6. Once you click submit, you can track the status of every individual's verification from Entities > List Individuals.

Entity Management

  1. This is where you'll see who has completed, who is pending, and any records flagged for review. From here you can also search for existing individuals to tag them to new transactions - keeping your records clean and avoiding duplicate profiles across matters. That covers adding an individual in easyAML. To recap what's happening under the hood: the VOI handles identity verification and screening. The Source of Funds/Wealth step goes further when your obligations require it - high risk, PEPs, complex funding, or anything inconsistent with the customer's known profile. The questionnaire captures the broader relationship context your AML Program requires you to document.
