If as a customer we need more users for training but don't want to upgrade tier, what are our options?
Use the Training-Only user type, which sits outside the paid user cap; a Starter customer (5 paid) can add unlimited Training-Only users without upgrading tier.
Overview
The Training-Only user role lets you put back-office or support staff through the AML training modules without consuming a paid user seat or upgrading your tier. It was introduced specifically for firms that need more people trained than their plan's user cap allows.
How it works
Training-Only users sit outside the paid user cap. A firm on Starter (5 paid seats) can have its 5 paid operational users plus any number of Training-Only users; the same applies on Professional (25 paid seats). Adding one never affects your subscription or forces a tier upgrade.
To add one: Account Settings → Users → + Invite User → role: Training Only. The user receives the standard invitation, sets up MFA, is allocated the training modules for their nominated role, completes them, and earns a certificate exactly like any other user.
When to use it
Training-Only suits staff whose training is general awareness or future-readiness rather than part of your audited compliance position:
- Back-office staff who don't perform CDD but need general AML awareness
- Office support roles such as reception and admin assistants
- Junior staff being upskilled ahead of a future CDD role
For most firms the distinction is intuitive: bookkeepers are typically Training-Only, while conveyancers performing CDD need a seat-allocated role.
The trade-off: training is not AUSTRAC-audited
Training-Only users' progress is not audit-logged for AUSTRAC compliance. The completion record and certificate still exist in the platform, but the user is not counted toward your firm's audited training position for compliance reporting. Only seat-allocated roles (Frontline, CDD, Senior Manager, CO, 2IC, etc.) have their training formally evidenced to AUSTRAC. For that reason the Compliance Officer should never classify a CDD-relevant or AML-facing role as Training-Only.
Why Training-Only users don't show on the training dashboard
By default the dashboard shows only seat-allocated users, because they form the firm's audited compliance picture. Training-Only users are scoped separately and kept off the main view to avoid confusing it. To see them: filter by role in Account Settings → Users, or use the "include training-only users" toggle on the Training Dashboard if available on your tier.
Moving a Training-Only user into the audited population
If a Training-Only user starts doing CDD work, change their role in Account Settings. They move into a seat-allocated role and automatically join the audited training population.
When to upgrade instead
When several back-office staff need to be formally audited rather than just trained, that's the natural point to move from Starter (1-5 users) to Professional (6-25 users) - the cost usually breaks even quickly.
