If a customer cancels, can they still access their records?
Yes, read-only access is provided and records are retained for the full 7-year statutory period at no additional cost.
Records are retained for the full 7-year statutory period at no additional cost - the customer doesn't need to keep paying their subscription to keep their compliance records accessible.
What's provided during the retention period:
- Read-only access for a designated user (typically the former Compliance Officer or a nominated successor).
- External auditor access - the customer's AUSTRAC auditor, internal auditor or independent reviewer can be granted read-only access for audit purposes.
- Customer data export on request - specific records can be exported for legitimate purposes (e.g. responding to a customer access request, providing evidence to legal proceedings).
What ends with cancellation:
- No new transactions - the platform's transactional capability is disabled.
- No ongoing monitoring - re-screening pauses (since the customer is no longer providing designated services, ongoing monitoring isn't a regulatory requirement).
- No active training delivery - staff training records remain but new training modules don't deploy.
The principle is that AUSTRAC's record-keeping obligation doesn't lock a customer into a vendor relationship. easyAML's retention service is genuinely no-cost; if a customer chooses to migrate to another provider, the records remain accessible during the migration and for the rest of the 7-year window.
Rather than exporting customers which runs the risk of data loss, easyAML provides read-only access for one user during the retention period is free. This includes: Login to the platform for the designated user. Ability to search and view historical transactions. Per-transaction download of the standard transaction report (PDF format) summarising the verification outcome. Print or save individual transactions as needed. For customers who simply want to satisfy themselves that the records are intact and accessible, the free read-only access typically suffices. For customers with formal data-handover requirements (e.g. acquisition / merger events), the customer success team will scope the export accordingly.
